Working with us

What happens in the free consultation?

We discuss how your business runs today, where time is being lost and what it is costing you. You leave with a clearer view of what is worth solving first. It takes place online or in person around Nelson, with no obligation and no sales pitch.

Can we start with a single solution?

Yes, and most businesses do. We start with the problem that costs you the most, prove the value, and build from there only if it makes sense.

How long does it take, and what does it cost?

A first working version usually takes a few weeks, depending on how much data is involved. Cost depends on the scope, so we look at the problem in the free consultation, and the prices come with the options afterwards.

Do you only work with businesses in Nelson?

No. We work with businesses across New Zealand online, and meet in person around Nelson and Tasman.

Do my staff need to be good with computers?

No. Every solution is designed around how your team already works. We set it up, train your team and stay available while they settle in.

Will my data be used to train public AI?

No. When a cloud AI service is the right fit, we use business plans that do not train on your data by default, and we check the terms for your case. For sensitive data, the AI runs privately and your data never reaches an AI provider.

Do I need to buy new hardware?

Usually not. Most solutions run in the cloud. When data is highly sensitive, we may recommend running the AI on a dedicated computer in your building, and we explain the cost and the reasons first.

Who owns the data and the database?

You do. The database is set up for your business and you can export everything at any time. Nothing is locked into a subscription.

What happens after launch?

We get your team up and running. Ongoing support and improvements are available, never required. You deal directly with the person who built your solution.

Can the setup change later?

Yes. Solutions are designed so the AI can be swapped or moved. Many businesses start in the cloud to prove the value, then move sensitive parts to a private setup.

Data pipelines and live dashboards

Does it replace Xero or our other software?

No. Your software stays exactly as it is. The database reads from it, and adds the things it does not hold well, like dockets, timesheets, lab results and your own spreadsheets.

What happens when a document is read wrong?

Every value is checked before it is saved. Anything unusual, like a total that does not add up or a result outside your limits, is flagged for a person to look at instead of going straight into your numbers.

Who owns the data?

You do. The database is set up for your business, and you can export everything at any time. It is not locked into a subscription tool.

Can it work with scanned or handwritten documents?

Scanned documents, yes, using text recognition. Handwriting depends on how clear it is, so we test it on a sample of your real documents before promising anything.

Internal tools

Can staff use it on their phones?

Yes. The apps work in the browser on a phone, tablet or computer, so people can use them on site, in the van or at a desk. Nothing to install.

Do we have to change how we work?

As little as possible. We start from the spreadsheets and habits you already have, and build the app around them.

Can it connect to the software we already use?

Usually, yes. Most business software, like Xero, has a way to share data. Where it does not, a regular export can do the job.

What if our procedures or process change?

The app changes with you. For training, the lessons that depend on a changed procedure are flagged for a refresh, and staff can redo just the parts that changed.

Will our files and emails be used to train public AI?

Your documents stay in a database set up for your business. If a public AI service is used, it is through business access where the provider does not use your data for training by default, and we check the terms for your case. For sensitive files, the AI can run on a private server or your own computer, so nothing goes to an AI provider at all.

What can it work with?

SharePoint, OneDrive, Google Drive, shared network drives and Dropbox, and the PDF, Word, Excel, PowerPoint and email files inside them. For enquiries: Microsoft 365, Outlook, Google Workspace, Gmail and your website form.

Will it send emails or change things on its own?

Not unless you want it to. By default it only answers questions and prepares drafts, and a person checks and sends them.

Can people see files they are not allowed to open?

It can follow the same access rules you already use, so people only get answers from files they are allowed to see. We agree the rules together before anything is switched on.

How many photos do you need?

It depends on the job. Simple checks can start with a few hundred example photos from your own business, and the model gets better as more are added.

What about staff privacy on site cameras?

Safety checks look for the gear, like a helmet or a hi-vis vest, not for who is wearing it. We plan it around the Privacy Act, and staff are told what the cameras are for before anything starts.

Does it need special cameras?

Usually not. Phone photos or the cameras you already have are often enough to start. If a fixed camera helps, we will say so, and why.
